Room Reservation Request Agreement and Guidelines

Agreement:

You agree to pay in full all damages, excess cleaning charges or other misuse fees determined to be your responsibility which might occur during your use of the room. Failure to make payment of the charges results in suspension of future privileges to use the rooms, as well as appropriate fees.

You agree to make no claim against the university, Housing and Dining Services or its employees for any injury, bodily harm or property damage arising from the use of the facilities, including liability for negligence.

You agree not to use the facilities as part of any fund-raising activities or for the purpose of selling food or other items.

Guidelines:

The high-tech classrooms (Derby 134 and Kramer 120) are reserved only for academic classroom use Monday through Friday, 8:00 a.m. to 5:00 p.m. They are available for other reservations Monday through Thursday, 5:00 p.m. - 11:00 p.m. and Sunday, 6:00 p.m. to 11:00 p.m. (except designated university holidays when the centers are closed).

All other rooms are available for rent Monday through Thursday, 8:00 a.m. to 11:00 p.m.; Friday, 8:00 a.m. to 4:00 p.m.; and Sunday, 6:00 p.m. to 11:00 p.m. (except designated university holidays when the centers are closed).

University regulations prohibit the consumption of alcohol, tobacco products and controlled substances in the building.

The preference is that the room reservation request be made at least 24 hours in advance.

If for some reason you need to adjust the time or date of your reservation you may do so no less than one business day in advance.

As a courtesy, please inform the Derby Academic Resource Center reception desk (532-2646) of a room cancellation.

Do not remove furniture or belongings from the rooms. You may rearrange the furniture in the rooms, but all items must be returned to their original location at the time of checkout. Failure to do so may result in a misuse fee.

All trash must be picked up and put in trash cans.

Use of the high-tech equipment in the classrooms is limited to those who have been trained by the Information Technology Assistance Center (iTAC, 532-7722).

Different reservation arrangements are used during the summer. Please contact the Guest Services Office (532-6368) for information about summer usage.

IMPORTANT:

Beginning in January 2007 there is a fee associated with room reservations if the event/meeting does not have Housing and Dining Services affiliation. Contact Danielle DeCuir (ddecuir@k-state.edu) 785.532.6325 or Kevin Cook (kcook@k-state.edu) 785.532.2644 if you have questions about this process.
